Hotel Rate Quote Expiry: Keeping AI Booking Offers Current

October 12, 2026

Handle hotel quote expiry in AI booking: keep price and terms together, refresh changed stays, and get renewed acceptance when an offer changes.

A hotel rate quote is a short-lived offer for a specific room, stay, and occupancy. When it expires, retrieve a fresh quote and present any changed price or terms before proceeding. An earlier price in the conversation does not authorize a later booking.

Stayker's current AI integration describes rate-reference validity as approximately 15 minutes. Use the current 1Stay documentation and returned service result for the applicable rules. That window is not a promise that inventory or price will remain available until the guest completes the booking.

This guide covers the quote stage of how AI agents book hotels. It applies whether your application uses MCP or REST.

What belongs to the quote?

Keep the selected hotel, room, travel dates, occupancy, rate reference, total, currency, and recorded cancellation terms together. Where the service provides an expiry or quote timestamp, preserve it with that offer. Do not mix a newer price with older terms or reuse a rate reference for changed dates.

A hotel's general description is not its selected rate's cancellation policy. A label such as "refundable" cannot establish the deadline, penalty, or remaining cancellation window. Show the actual terms available for the selected offer. If the rules are incomplete, identify that gap and use the documented recovery or support path.

Four changes that need a new offer

Situation Next action What the guest needs to see
The quote expires during the conversation Retrieve current room details and a usable quote The current total and terms
Dates or guest count change Quote the revised stay The new stay requirements and their corresponding offer
Price or terms materially change Present the updated offer and obtain renewed acceptance What changed before proceeding
The selected room is unavailable Return to available options An alternative the guest can actively choose

Do not silently substitute another room because it has a similar name. Room choice, price, and terms affect the guest's decision.

Design for a conversation that pauses

People compare hotels, ask a colleague, or leave the conversation open. The booking flow must tolerate that delay without treating the conversation history as live inventory.

For example, a guest chooses a room, then returns after the quote window. The next step is to refresh that selected stay's offer. If the total or cancellation deadline changed, explain the change and ask the guest to accept the updated offer. If the room is gone, offer current alternatives. Do not promise to honor a price that the service no longer returns.

The application should track the current selected offer separately from the transcript. The transcript is useful context; the usable quote is the authority for the next booking step. Preserve the guest's requirements so refreshing an offer does not accidentally change their dates or occupancy.

Revalidate at the booking boundary

Revalidate price and recorded terms immediately before booking under the service's current contract. A local timer can help your interface decide when to refresh, but it cannot prove that a supplier still has the room. Treat an expired or rejected rate response as a reason to obtain a fresh offer, not to fabricate a new rate reference.

Stayker's AI workflow returns a secure booking page where the guest completes the booking. Creating that page is a handoff. The page and booking service must enforce the current transaction requirements; the assistant should never claim that the link holds inventory or guarantees the earlier price unless the service explicitly establishes that fact.

See a booking link is not a confirmed reservation for the states after the handoff.

Use clear guest language

When the old quote has expired, a useful response is: "I'll check the current room offer for your dates." When the offer changes, present the updated total and recorded terms, then ask whether the guest wants to proceed. Avoid saying "your price is locked" merely because a rate lookup succeeded.

If a booking result is uncertain, verify its existing status before starting another attempt. Refreshing a quote and repeating a booking write are different actions, with different consequences.

Build the full workflow

Start with Stayker Build and the 1Stay API and MCP docs. Test an expired quote, changed dates, changed terms, and an unavailable room, along with the successful path. The goal is a guest who understands the offer they are accepting and a product that reports the actual booking outcome.
